Blocking web proxy access (draft)

Introduction

Occasionally there is the need to prevent a user from being able to use the web proxy service, usually due to disciplinary action. The following procedure needs to be followed in such a case.

Note: This is an interim procedure pending final approval.

Proposed procedure

  1. Authorized person contacts Web and Internet Facilities - Enabling Facilities and requests restriction for user X for reason category A/B/C with expiry date of DD/MM/YYYY or indefinate.

  2. Enabling Facilities staff member runs program that:

    • Implements the restriction
    • Sends notification to the user, the requestor and to Director, Client Services (or other designated ITS staff member), including details of reason of restriction, end date of restriction (if applicable), requestor of restriction.
    Template email message to be used.

  3. If an end date is specified, restriction will be removed automatically on the designated day. If an end date is not specified, restriction will remain enforced until requestor asks for restriction to be removed. Request to be via signed paperwork or telephone with paperwork to follow.

Authorized staff

The following staff are authorized to request proxy access restrictions:

Staff

  • Director of Student and Staff Services

Students

  • Director of Student and Staff Services
  • Dean of the Faculty that the student is enrolled with

Accepted methods of contact

Authorized person needs to send (fax/internal mail) signed written request for the restriction. Telephone, etc are enough for the restriction to be enforced immediately, but written documentation needs to be submitted within 2 working days.

Copy of the paper work to go to Directory Manager, Enabling Facilities and to Director, Client Services (or other designated ITS staff member) to provide an audit trail.

If the paperwork is not received within 2 working days, the restriction will be removed. Notification will be sent to requesting person in such a case.

Reasons for removing access

Reason categories to be vague, since Enabling Facilities staff do not need to know the full reasons for the restrictions. Some categories could be:
  • Disciplinary action
  • Excessive use of proxy

Appeals

All appeals regarding proxy restrictions need to be referred to the staff member who authorized the restriction.
