Student Mailing Lists & Groups

Academic staff may request mailing lists and/or groups be created for the student cohort for which they have a Teaching Commitment. Your Teaching Commitment must be added to your entry in the Monash Directory Service. ITS staff can then create mailing lists for you by request; see below.

The lists are updated each night. As students start or complete the unit the members of the mailing list will change.

Note that only Monash student email addresses are used because students have the option of setting a forwarding address.

Important Notes

There are some conditions as mailouts can be quite large and so have an adverse effect on the email service in general.

  • Send from your Monash staff address (eg first.last@dept.monash.edu.au)

As with all mailouts staff are advised to minimise the message size by:

  • Omitting images and attachments
  • Putting text in-line rather than as attachments
  • Referring to a webpage that has all the details (images, forms etc.)

Requesting list/group creation

You should first check which lists are available for the units for which you have a Teaching Commitment.

Log an ITS request to create or edit a list. In the request details box, provide the following information:

  1. The unit code for which you want these lists created (eg ABC1234)
  2. Which types of lists are required (enter one or more):
    • List for everyone in the subject unit (ABC1234-L)
    Campus-based:
    • Berwick Campus list (ABC1234-berw-L)
    • Caulfield Campus list (ABC1234-caul-L)
    • Clayton Campus list (ABC1234-clay-L)
    • Gippsland Campus list (ABC1234-gipp-L)
    • Parkville Campus list (ABC1234-park-L)
    • Peninsula Campus list (ABC1234-peni-L)
    Overseas:
    • Malaysia Campus list (ABC1234-musm-L)
    • South Africa Campus list (ABC1234-musa-L)
    • Other Overseas list (ABC1234-os-L)
    Miscellaneous:
    • City Office list (ABC1234-city-L)
    • Miscellaneous list (ABC1234-misc-L)
  3. Whether the lists should be created as:
    • Email lists (can be emailed at listname@lists.monash.edu.au)
    • Groups (used for access control)
    • Both email lists and groups
  4. Whether the lists contain:
    • Internal (Monash) people only
    • Both internal and external people
  5. Who can post to the mailing lists:
    • Subject teaching staff only (based upon Teaching Commitments)
    • Anyone
  6. Where replies to the mailing list should go:
    • Back to the list
    • Back to the sender of the message
    • To a specific address (please provide the address)

When you have entered all these details, click the Submit button to submit the request.
